Policies & Regulations

We love all of our clients at Tropical Shades, LLC, and we want to make sure everyone feels at home in our friendly Tanning Salon. That’s why we’ve set a few basic policies to make sure everyone who walks through our doors has an experience that leaves them wanting to return time and again. Take a quick read. If you have any questions, just get in touch.

1. You must wait 24 hours between tanning sessions.

2.Protective eye wear must be worn while tanning.

3. No customer under 16yrs old will be permitted to use UV tanning beds

4.Children or adults are not allowed to accompany you in the tanning room

5. We are a shoe free salon - we ask all clients to respect the "Rock Your Socks" policy beyond the reception desk

6.Smoking is not allowed anywhere in the building 

7. We sanitize each bed before each use

8. Our employees have the right to deny anyone from tanning if they do not feel you are meeting the laws of Wisconsin and the FDA have in place

16-17 Year Olds

Wisconsin State Law states that the minimum age to tan in an UV tanning bed is 16. You must bring in a valid Driver's License or a copy of your birth certificate. We are very strict in following this state law and if you do not have one of the above items, you will not be allowed to sign up at Tropical Shades.  Minors between 16 & 17 are permitted to use the tanning facility with a Tropical Shades parental consent form that is completed, signed and kept on file at Tropical Shades.

Cancellation

1-Hour Cancellation

No phone, email, or message cancelations

Your appointments are very important to us.  They are reserved especially for you.  We understand that sometimes schedule adjustments are necessary.  Therefore, we respectfully request a 1-hour notice for cancellations or rescheduling of appointments.

 

Please understand that when you forget, cancel, or change your appointment without giving enough notice, we miss the opportunity to fill that appointment time, and clients on our waitlist miss the opportunity to receive services.

 

Any appointment missed, late canceled, or changed without 1-hour notice will result in a charge equal to 100% of the reserved service amount.  The appointment may be taken off a membership/package 1 day or charge individually.  After 2 missed/late cancellations you will not be allowed to use the online booking app. All appointments will then need to be made at the front desk.

 

As a courtesy, your appointments are confirmed electronically, and you will receive a 2 hours’ notice before your scheduled appointment by email from our online appointment scheduling software because we know how easy it is to forget an appointment you booked weeks ago.  From this confirmation email, you have the option of the following without a charge:

Reschedule/change/modify/cancel your appointment from your online client account.

You also have the option to check or cancel your appointments right from the app.

Please understand that it is your responsibility to remember your appointment dates and times to prevent any missed appointments which result in a cancellation fee.  Not receiving an electronic notification of your appointments from us the 2-hours before is not sufficient reason to miss an appointment if the original confirmation notification was received timely.  A link to automatically upload the appointment to your calendar is provided on every electronic confirmation.

 

Any late arrival will shorten your appointment time and will not be made up by running into the next client’s scheduled appointment.

 

It is mutually understood that if a cancellation is due to circumstances beyond any of our control, such as power outage, unfortunate incidence, or weather that requires you or us to have to cancel or be closed during regular business hours, we will reschedule your existing appointment and no discount or charges will apply.

 

We stand by our policies.  We feel that it is only fair that we honor the same policies to our clients.  If we are forced to cancel a client with less than 1 hours’ notice of the appointment scheduled, we will honor the same policy and your next appointment will be free of charge.

 

The 1-hour cancellation policy gives us time to inform others on the waitlist of any availability.  Thank you for viewing and supporting our 1-hour cancellation and rescheduling policy criteria.
